Leadline collects contact information submitted through forms for the purpose of responding to inquiries and providing requested services.

Information collected may include:

• Name
• Email
• Phone Number
• Company Information

Leadline does not sell personal information to third parties.

We do not sell or share your personal information with third parties for marketing purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. We do not sell, rent, or share mobile phone numbers, text messaging opt-in data, or consent with any third parties or affiliates for marketing or promotional purposes.

By submitting information through our forms, you consent to being contacted regarding your request.

When you opt in to SMS, Leadline may send account-related and transactional messages, including new lead alerts, call outcomes, chat activity, handoff alerts, and booking updates. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help. SMS consent is not a condition of purchase.

Google user data

A business can connect its Google Calendar to Leadline so that Leadline's AI receptionist offers customers only the times the business is free and books appointments on its calendar. This section explains what Leadline does with data it receives from Google.

Leadline's use of raw or derived user data received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

What we request and why

• View and edit events on your calendars (calendar.events): to add appointments booked through Leadline to the calendar you choose, update them when they're rescheduled, remove them when they're canceled, and check that an event Leadline created still exists.
• See your calendars (calendar.readonly): to list the calendars you can edit, so you choose which ones Leadline uses, and to read the busy times on the calendars you choose (only the start and end of each busy period), so Leadline offers only times when you're free.
• Your Google account's email address (userinfo.email): to show which Google account is connected.

Leadline doesn't read the titles, descriptions, locations or guests of events it didn't create. The events it creates contain the appointment details from Leadline: the customer's name and contact details, the address, the service and the time.

How we use it

We use Google user data only to provide the scheduling features you see in Leadline: offering your open times to your customers by phone, website chat and text, and booking, rescheduling and canceling appointments on your calendar.

• We don't sell Google user data.
• We don't use it for advertising, including personalized, retargeted or interest-based ads.
• We don't use it to determine credit-worthiness or for lending.
• We never use Google user data, raw or derived (including Google Workspace API data), to develop, improve or train generalized or non-personalized AI or machine-learning models, and we don't allow our service providers to do so.
• We don't transfer it to anyone except the service providers below, as needed to provide these features; to keep Leadline secure; to comply with the law; or as part of a merger, acquisition or sale of assets, with your consent first.
• No one at Leadline reads it unless you ask us to (for example, for support), it's needed for security or to comply with the law, or it's aggregated and anonymized for internal operations.

AI providers

When a customer asks for an appointment, Leadline's AI receives only the open times Leadline works out from your busy times, and whether a time the customer asked for is open. The AI never receives your calendar events, your calendar names, your Google account's email address or your sign-in tokens. These providers process those open times for us:

• Phone calls: Vapi, our voice AI platform, which runs the phone receptionist. It uses OpenAI's models, through our own OpenAI account, to write the AI's replies and ElevenLabs to speak them.
• Website chat, text messages, email replies, call summaries, suggested replies and the AI tools in your dashboard: OpenAI's models, through OpenAI's API directly, with our own OpenAI account.

OpenAI doesn't use our API data to train its models, and we've turned off data sharing with OpenAI.

Vapi runs with Zero Data Retention: it processes each call in real time, stores no recordings, transcripts or messages from our calls, and doesn't use our call content to improve its models. Call recordings are kept only in our own private storage.

How we protect it

• Data is encrypted in transit (HTTPS/TLS) and at rest in our database.
• Your Google sign-in tokens are stored only on our servers. They're never sent to your browser or to any AI provider.
• A calendar connection is used only for the business that connected it. Only the team member who connected it and the business's admins can change or disconnect it.
• Leadline staff access data only as needed to run and support the service.

Retention and deletion

• Busy times are read when Leadline needs them to offer times, and aren't stored.
• We keep your sign-in tokens and the calendars you chose only while your calendar is connected.
• When you disconnect a calendar in Leadline, we immediately delete the stored tokens and your calendar choices, and revoke Leadline's access with Google. If another business in Leadline is still connected with the same Google account, we leave that Google access in place for it, since revoking would disconnect that business's calendar too. You can also remove Leadline's access at any time from your Google Account's Third-party apps & services page.
• Appointments booked through Leadline, and call recordings and transcripts (which can include the times the AI offered), stay in your Leadline account until you close it or ask us to delete them.
• To have your data deleted, email support@aileadline.com. We'll delete it within 30 days.
